Managing Clients and Contacts

Written by Brandon Moses

This article covers how to work with contacts and opportunities in Factor's CRM.

Viewing contacts

Navigate to CRM > Contacts. The contacts page displays a sortable table. You can search contacts by name, email, or organization. Use filters to narrow results by criteria such as contact type or sales territory. You can also search by company name using the search box. Save your most frequently used filter as a favorite view for quick access. You can also choose which columns are displayed in the table.

Adding a contact

Click Add Contact in the top right corner. Enter the contact's information: name, email, phone, and organization (client, vendor, or other company). Many fields on the right side are selectable lists (contact type, contact title, sales territory) that can be configured in Settings.

Editing a contact

Click on the pencil icon for any contact in the list to open their details. In addition to basic information, you can see which projects the contact is linked to.

Handling duplicates

If you find duplicate contacts, you can delete one directly - Factor will warn you if it's linked to any projects but won't block the deletion. Review which projects are linked before deleting, so you don't lose a billing contact assignment on one of them. Changes to a contact only affect projects linked to that specific contact record.

Exporting contacts

Use the export option on the contacts page to download your contacts table for editing outside of Factor.

Linking contacts to projects

On any project's Overview tab, scroll to the project contacts area. You can look up contacts by company and add them. Contacts linked here can be designated as billing contacts for invoicing purposes. You can also create a new contact directly from this area.

Linking contacts to opportunities

When creating or editing an opportunity, you can associate contacts with it.

Managing Opportunities

Viewing opportunities

Opportunities are available in two views: the list view (under CRM > Opportunities) groups opportunities by status, while the board view (under CRM > Opportunities Board) displays them in kanban-style lanes. Both views support searching by client name or opportunity name, filtering by criteria like sales territory or salesperson, and exporting.

Adding an opportunity

Click Add Opportunity from either view. Enter information including client, opportunity name, proposed value, and selectable classifications like sales territory, salesperson, project type, and client type. Many fields are optional and only necessary if they help with sorting and filtering.

Updating opportunity status

In the list view, open an opportunity and change its status. In the board view, drag and drop an opportunity between status lanes. When moving an opportunity to Won or Lost by dragging it on the board view, you'll be prompted to enter a closed date and a reason. Closing an opportunity from the list/edit view also requires a closed date, just without that same popup prompt.

Linking Opportunities and Projects

There are four ways to create the link between an opportunity and a project:

  1. From an opportunity, link to an existing project: Open the opportunity and select a project to link.

  2. From an opportunity, create a new project: Open the opportunity and click to create a new project. The project name, client, and contact pass through from the opportunity. You can apply a project template during creation to populate phases and budget.

  3. When creating a new project, link an existing opportunity: During project creation, select an opportunity from the dropdown.

  4. From a project, link to an existing opportunity: on the Overview tab of the project, edit the project info section and click the blue + under linked opportunities.
