Overview

This article walks through the steps to create a new project in Factor, from accessing the Add Project form to setting up the minimum required fields.

Prerequisites

You need permissions to create projects. If you don't see the PROJECTS menu or the Add Project option, contact your office administrator to grant you the necessary permissions.

Steps to Create a Project

1. Open the Add Project Form

From anywhere in the app, access the PROJECTS menu and select Add Project. You will be given the option to select a template, and the option to Create from Opportunity. If you want to start from scratch, skip the template selection.

2. Enter Required Fields

The fields you must fill in to create a project are Name, Client, Project Type, and Payment Terms. Project Number is optional — Factor shows the last number used as a helper, but you can leave it blank or set your own. The field for how often the client will be billed defaults to Not Regularly and isn't required either — if you pick a weekly or biweekly frequency you'll then choose which day of the week it ends on, and if you pick monthly or twice-monthly you'll choose which day (or two days) of the month.

3. Add Optional Information (Overview Tab)

Once the project is created, the Overview tab provides additional fields that are not required but help with organization, searching, and reporting: - Project Manager — The person who manages the project in Factor. This is different from other assignment roles. - Additional classification fields — Other modifiable list-based settings (configured in your Settings) that can be used to search for, filter, and report on projects. - Billing information — Additional details beyond the billing frequency and payment terms already entered. - Time entry requirements — Such as whether to require descriptions on time entries for this project. - Contact — Not required until you need to send an invoice, since you need a contact to send an invoice to. - Custom fields — Additional classification fields that your firm has set up for projects. - Notes — Free-text notes about the project.

4. Set Up Rates (Team Tab)

On the Team tab, you can: - Set up billing rates for different project roles. These project roles are the same ones set up in your Settings list area — if you don't see a role you need, add it in Settings first. - Specify project-specific rates. If you change rates later, Factor will track the date and apply the old rates to time before that date and new rates to time after. - Assign staff to the project for use with the resource scheduler.

5. Add at Least One Budget Phase

For team members to be able to log time to the project, you must add at least one phase on the Budget tab. When creating a phase, set its status to In Progress so it appears in the time entry dropdown for your users.

Deleting a Project Created in Error

If you created a project by accident, you can delete it from the Overview tab under Project Actions — but only if no time has been logged and no invoicing has occurred on the project. If time has been logged, you would need to delete or move those entries to another project first. If invoicing has occurred, the project cannot be deleted. In those cases, consider closing the project instead.

Quick Tips

  • You can search for projects using partial criteria — just type part of the project number or name, and Factor will filter as you type.

  • None of the additional information on the Overview tab is required to create a project. It's optional information that helps you organize and search.
