Setup

Permissions

Each report version has its own permission level (Firm Owner, Office Manager, Project Manager, or Employee). A report appears in a user's list when the user's permission role is at or above the report's permission level. A user's permission role is set under SETTINGS > Your Team. Contact your administrator if you believe you should have access to a report that isn't appearing.

Changing a Report's Permission Level

Users with the Modify reports permission can change the permission level of a report version.

  1. Go to REPORTS > Printable Reports and click Set Up Reports.

  2. Edit the report version.

  3. Move the Permission Level slider to the lowest role that should see the report: Firm Owner, Office Manager, Project Manager, or Employee.

  4. Click Save.

Every user whose permission role is at or above the selected level can see and run the report, so choose the level based on everyone who holds that role. A user cannot set a report's level to include their own role when the report is currently above their role.

Prerequisites

Before running a report, ensure the relevant data exists in Factor:

  • Time entries logged (for time reports)

  • Projects created and configured (for project reports)

  • Invoices prepared or expenses entered (for billing/financial reports)

Running a Report

  1. Go to REPORTS > Printable Reports.

  2. Browse available reports organized by category. Each report version is built on an underlying template.

  3. Select the report you want to run.

  4. Set your filter criteria (date range, project, client, employee, etc.). Available filters depend on the report template.

  5. Click Run to generate the report.

Report results display in a formatted table. Data may be grouped by project, employee, phase, or other criteria depending on how the report version was designed. Group headers show the grouping criteria; group footers show subtotals; the report footer shows grand totals. If no records match your filters, the report displays a "no entries were found" message.

Most reports allow you to:

  • Filter by date range, project, person, and more

  • Search using search boxes to find specific entries

Exporting Reports

Once a report is generated, click the Export button in the report viewer toolbar and select your format. The most commonly used are PDF, Excel (.xlsx), and CSV - Word (.docx) and Image are also available. Exported reports retain their formatting. For reports intended for use in Excel, table-based layouts and landscape orientation tend to export more cleanly.

Troubleshooting

Report shows "No Entries Found" Filter criteria are likely too narrow. Expand the date range, remove project or employee filters, and try again. Also confirm the relevant data has been entered in Factor within the selected date range.

Cannot see a specific report Your permission role may be below the report's required level. Each report version has a permission level (Firm Owner, Office Manager, Project Manager, or Employee). An administrator can raise your permission role under SETTINGS > Your Team, or lower the report's permission level on the Set Up Reports page. Lowering the level gives every user at or above that level access to the report.

Report is slow to generate Try narrowing the date range or filtering by specific projects to reduce the row count.

Best Practices

  • Start with pre-built stock reports before creating custom ones.

  • Use parameters to filter instead of running separate reports for different date ranges.

  • Export reports regularly for record-keeping and sharing with stakeholders.
