Holiday Pay and Holiday Hours on Timesheets

How holiday hours are added to timesheets automatically, who receives them, and how to set up the Holidays list.

Written by Brandon Moses

Overview

Holiday hours are added to employee timesheets automatically. Employees do not log them. For every holiday on your firm's Holidays list, each employee who receives holiday pay gets 8 hours on that date.

How Holiday Hours Appear on a Timesheet

  • On TIME > Enter Time, holiday hours show in a Holidays section, with one row for each holiday in the week, named after the holiday.

  • The 8 hours appear on the holiday's date as soon as the holiday is on your Holidays list. This applies to upcoming weeks and to past weeks.

  • Employees cannot edit or delete holiday hours, and neither can managers. The only ways to remove them are to remove the holiday from the Holidays list or to turn off holiday pay for that employee.

  • Holiday hours count toward the timesheet's total hours. They are not billable time and do not count toward the utilization target.

Who Receives Holiday Pay

Each employee has a checkbox labeled Does this employee receive holiday pay? To find it, go to SETTINGS > Your Team, click the settings icon for the employee, and open Edit User.

What it controls:

  • Checked: the employee gets 8 hours for every holiday on the Holidays list.

  • Unchecked: the employee gets no holiday hours, and the Holidays section on their timesheet shows 0 hours.

Employees cannot change this checkbox for themselves. It takes a user with permission to modify firm settings, which the Firm Owner and Office Manager roles have by default.

Setting Up the Holidays List

Go to SETTINGS > Lists > Holidays. Each holiday has a Name and a Date.

  • Holidays do not repeat. Add them again each year.

  • Factor does not move a holiday that falls on a weekend. A holiday dated on a Saturday or Sunday gives 8 hours on that day, so enter the date your firm observes (for example, the Friday before).

  • You can add any custom holiday your firm observes.

  • If you add a holiday dated in a past week, it appears on that week's timesheet too.

Holiday Hours Per Holiday

Holiday hours are fixed at 8 hours per holiday for every employee, including part-time employees. The number of hours cannot be changed for a single holiday, a single employee, or the whole firm.

If a holiday needs to count for a different number of hours, there are two options:

What you can do:

  • Add more holidays. Each holiday date on the Holidays list gives a full 8-hour day, so adding holidays increases the holiday hours employees receive over the year.

  • Track holidays as PTO instead. Remove the holiday from the Holidays list and create a PTO type for it under SETTINGS > Lists > PTO Types. Employees then log the hours themselves, in any amount. This is treated as PTO, and employees need an allowance or accrual for the type before it shows on their timesheet if your firm's Time Entry Preferences hide PTO types without a balance.
