Bulk Moving Time Entries to a Different Phase

Move several time entries to a different phase of the same project in one step from the Review Time page.

Written by Brandon Moses

Time entries can be moved to a different phase in bulk from the Review Time page. Select the entries, choose the new phase, and Factor moves them all at once. The employee, date, hours, description, and billing role on each entry stay the same.

Who Can Move Time Entries

Users with the Modify other people's time entries permission can move time entries in bulk. This permission is assigned under SETTINGS > Your Team. The selection checkboxes and the Edit Selected Time Entries button appear only for users with this permission. Users with this permission can also move time that is on an approved timesheet.

Moving Time Entries to a New Phase

  1. Go to TIME > Review Time.

  2. Choose at least one filter, such as Date Range, Client, Project Name (Number), or Employee, and click Search.

  3. Expand a group to see its table of time entries. Check the box beside each entry to move. The checkbox in a table's header selects every entry in that table. Turn on Group By User to organize the list by employee.

  4. A bar at the bottom of the page shows how many entries are selected, with Deselect All and Edit Selected Time Entries buttons.

  5. Click Edit Selected Time Entries. The Move Entries to New Phase window opens.

  6. Select the phase to move the entries to. Only phases from the entries' project are listed.

  7. If the project uses tasks, select a task if you want to assign one (see What Happens to Tasks).

  8. Click Save.

Entries From More Than One Project

All selected entries must belong to the same project. When the selection includes entries from more than one project, Edit Selected Time Entries is unavailable and the page shows "Time entries from multiple projects cannot be edited simultaneously." Time can be moved only to a phase of the project the entries already belong to.

Entries on Invoices

Time entries that are already on an invoice have no checkbox and stay on their current phase.

What Happens to Tasks

When the project uses tasks, each entry keeps its task if that task can be used with the new phase. A task can be used when it is not tied to a specific phase, or when it is tied to the new phase or to the new phase's parent phase.

  • An entry whose task is tied to a different phase receives the task selected in the Move Entries to New Phase window. If no task is selected, the entry ends up with no task.

  • An entry with no task receives the selected task when the project requires a task on time entries. The window requires a task to be selected in that case.

  • When Override All Currently Selected Tasks? is checked, every selected entry receives the selected task, or no task if none is selected, including entries whose current task could have stayed.

Requirements for the New Phase

Each entry is checked against the new phase when you click Save. If any entry does not meet a requirement, Factor shows a message explaining the problem and none of the entries are moved.

  • The project is open and allows time entry.

  • The phase accepts time entries: it has no child phases, and its status is In Progress or Completed.

  • Each entry has a description when the project requires descriptions on time entries.

  • Each entry has a task when the project requires a task on time entries.

  • The billing role on each entry is active on the project. Each entry keeps its role, and the rate that applies on the entry's date.
