Setting Up User Permissions

This article covers how to configure user permissions in Factor.

Written by Brandon Moses

Permission Roles as Starting Points

Factor provides four default permission roles, each with a pre-configured set of permissions:

  • Employee: Access to personal timesheet and time entry only. The most restricted role.

  • Project Manager: Employee permissions plus project management, viewing other people's time, and some reports.

  • Office Manager: Project manager permissions plus access to settings areas, team management, and broader reporting.

  • Firm Owner: Full access to all areas of Factor. These roles serve as starting points. After assigning a role, you can customize individual permissions to match your firm's needs.

Configuring Individual Permissions

  1. Navigate to Settings > Your Team and select a user.

  2. Assign their permission role first - this sets the baseline.

  3. Review and adjust individual permissions. Permissions are organized by area of the system. Many areas have separate View and Modify permissions. For example, under Projects, there are individual permissions for viewing project overviews, modifying project overviews, viewing budgets, modifying budgets, and so on.

Common Permission Adjustments

  • Limiting time logging: The Employee role grants access to log time on their own timesheet. If you need a user to have additional access without full Project Manager permissions, selectively enable specific view permissions.

  • Granting report access: Printable reports are available to users whose permission role is at or above the report's permission level. To give a user access to a printable report, raise the user's permission role or lower the report's permission level. If a Project Manager needs access to the Firm Dashboard or team cost data, you'll need to enable those specific permissions individually.

  • Settings access: Access to the Settings area, including team management and lists, requires specific permissions typically included in Office Manager and Firm Owner roles.

Resetting to Role Defaults

At any point, you can reset a user's permissions to the defaults for their assigned role. This is useful if custom permission adjustments have become complex and you want to start fresh from a known baseline.

Permissions for Setup Tasks

The user performing initial Factor setup needs Firm Owner permissions to access all configuration areas. Key setup tasks requiring specific permissions include: adding users (requires team management permissions), modifying team cost (requires team cost permissions), configuring lists (requires settings access), and setting up integrations (requires integration permissions).
